Job Description: Party Planner
Position Summary:
The Party Planner is responsible for organizing and coordinating events within the hospitality and tourism industry, with a focus on party planning. This role requires exceptional organizational skills, attention to detail, and the ability to work under pressure. The Party Planner will be responsible for ensuring that all parties and events are executed seamlessly, providing an unforgettable experience for clients and guests.
Key Responsibilities:
1. Collaborate with clients to understand their event requirements, including themes, budgets, and desired outcomes.
2. Create and develop detailed event proposals, including timelines, budgets, and material requirements.
3. Source and negotiate with vendors, including caterers, decorators, audiovisual technicians, and entertainers.
4. Coordinate all aspects of event logistics, including venue selection, transportation, accommodation, and guest registration.
5. Oversee the event setup, ensuring that all decorations, equipment, and facilities are in place and meet client expectations.
6. Manage event operations during the party, including troubleshooting any issues that may arise.
7. Coordinate and supervise event staff, such as servers, bartenders, and security personnel, to ensure smooth event execution.
8. Maintain excellent client relationships by providing exceptional customer service and addressing any concerns or feedback.
9. Conduct post-event evaluations, gathering feedback from clients and guests to continuously improve future events.
10. Stay updated on industry trends, new venues, and event experiences to provide innovative ideas and suggestions to clients.
Required Skills and Qualifications:
1. Bachelor's degree in Hospitality Management, Event Planning, or a related field.
2. Proven experience as a Party Planner or in a similar role within the hospitality and tourism industry.
3. Strong organizational and time-management skills, with the ability to multitask and manage multiple events simultaneously.
4. Excellent interpersonal and communication skills, both written and verbal.
5. Ability to work well under pressure and meet tight deadlines without compromising quality.
6. Exceptional attention to detail, ensuring all aspects of events are meticulously planned and executed.
7. Strong negotiation and vendor management skills, with the ability to source cost-effective solutions without compromising quality.
8. Proficient in event management software and Microsoft Office Suite.
9. Strong problem-solving and decision-making abilities, with the capacity to handle unexpected challenges.
10. Flexibility to work evenings, weekends, and holidays, as required by event schedules.
